How to win more time

How to win more time for your team? Free the resources and focus on improving your brand performance

Before you start with this article, please take 15 seconds to answer these three simple questions:

•         How much time does your team spend on day-by-day tasks?

•         How many repetitive tasks did you already do yesterday?

 •         How do any of those tasks really need a human touch?

Pretty sure you have to think about the massive amount of small tasks that have to be done. By you, by your specialists. The number is already blowing up the mind, isn't it?

So let's see what we got to do:

•         A lot of time you need to spend on meetings. If you are lucky- face to face. Most likely, you're spending the time in online conference rooms. It is at least 50% of your time.

•         Around 30% of your time is for sure preparation to present to internal or external stakeholders.

 •         We shouldn't forget about the favorite task of us all - writing emails. How much time do we spend on this? According to our experience, not less than 15%

 •         And then the tasks that pop up from time to time depending on the day, work period, and other factors – around 5% of your time, right?

But we know that attending a meeting is not just for killing time. The results of all sessions are the same as research work. All the information should be analyzed and then brought into a readable and understandable form such as PowerPoint Presentations or Excel tables.

If we put it this way may seem that you get paid for building pretty slides in PowerPoint. But for sure, creating pretty presentations was not part of your job posting.

It was not about your ability to put text near pictures for aesthetics. Was it? Pretty sure the answer is "no." Presentation is only a result of work with information.

It is hard work that requires analytic skills. You were hired not because of your perfect visual taste but because you demonstrated superior strategic thinkingbusiness experience, and/or ability to lead your team to proven success.

How much time does your medical, market research, marketing, etc. people spend just to update slides, spreadsheets, and databases?

Let's give an example:

To answer this question, we are going to use the case from our own experience.

Our client was struggling with the complexity of their study data management. They wanted the information to be simple and straightforward. The team spent around 2 – 3 days every month checking in with the available study databases manually to investigate changes in the relevant clinical trial. They need to keep an eye on and manually update the data in a PowerPoint slide deck and an Excel spreadsheet.

Our team analyzed the workflows and created an automized study calendar connected directly to the extensive clinical study databases. Our client is now spending 2 minutes updating all data.

Cool, right?

But it is nothing similar to magic. We created the Trial Calendar, which is bound with APIs to several study databases to solve these problems. It allows the team to upload complete databases in one click at any time. Information on databases is automatically compared and sorted so that the team always gets the latest updates.

So why spend the nerves and attention of your team on tasks they can just leave for the computer?

Of course, sometimes we need to double-check the spreadsheets, and you definitely need the slides to present all your work straightforward and nice. Otherwise, how are you supposed to convince the stakeholders? But again, your job is not creating and designing slides. It is all about strategic thinking, ability to make the right trade-off decisions. In other words, you were trained to use your brain uniquely and creatively.

What is this all about?

People often believe that we need to persist in the status quo. But we feel how the world is moving, that the change is necessary, and we just can't ignore the modern processes, especially when we talk about consumers of tech companies. Technology is not only at work, and it is a modern way of living.

So why wouldn't we start using technology to clear out to-do lists and free our minds from daily tasks that can be done within a second? For sure, it is more satisfying to get paid for actual work than for going through the tasks that the cloud system can do very fine by itself. Less stress – more time, everyone wins.

What are the benefits of automation?

•         More time – more room for strategy planning;

•         No error because of manual copy & pasting;

•         More information denseness.

Intelligent Systems aggregate and pull data from all types of different sources, which is a nightmare to do manually.

Growing your automation initiatives is impossible without a scalable and flexible infrastructure.

Those are just a few examples. The potential of automation is enormous. But how to get to an excellent digital system? We all know these couple of apps that just collect the digital dust on our Smartphones or computers. Getting an app or software for every single task doesn't make a lot of sense.

Let's have a look at the internal process. There are some questions that we have for you that will help you to figure out how exactly you could make automation work for you:

•         How are you getting your jobs done?

•         Which of these tasks take long with a limited value to your decision-making processes?

•         Could these tasks be automated to free your load and enable you to focus on the essential tasks.

Summarizing all the information from this article, we see why automation is a solution and how it will help your brand develop faster.

•         Achieve the essential workflow faster. The intelligent and well-designed system will improve the communication in your team. If you have a junior team, a transparent system will be perfect for creating a corporate work style and communicational habit.

•          Tools are maximally visual. Functional design allows you to understand and find information faster. It is based on our research and analysis of user experience, which makes change tracking simple.

• Slides creation is automated and synchronized. Meaning you don't have to think about the visual format. There is no need to control the illustrative part. The intelligent system will organize all the slides. It will help your team to free their minds of the work that doesn't need their analytic skills.

We captured only a few automation benefits here. Strategy development contains more analyses, conclusions, and trade-off decisions. However, if you want to focus on particular tasks in this planning season, you might want to find out more about time-saving with the help of technology. Our team will guide you to make sure you go fast from getting to know Enavia to create a successful tactical implementation plan.
